📌 Your Mission
Run the marketing team’s operating system end-to-end so leaders and channel owners can focus on decisions and output—not coordination. You prepare decision-ready weekly meetings (incl. polished decks), keep work and assets organized in Notion and Google Drive, own the marketing inbox and vendor/invoice workflow, maintain seasonal planning, coordinate enablement topics (tools, access, training, onboarding logistics), and continuously improve workflows by leveraging modern AI tools responsibly
🎯 Your Tasks & Responsibilities
Marketing cadence & meetings: prepare agendas, collect inputs, build decision-ready decks (Google Slides), document decisions, track action items and follow-ups.
Presentation packaging: turn raw updates and numbers into executive-ready slides (clear narrative, crisp visuals, actionable next steps).
Notion operating system: set up and maintain Scrum/Kanban boards, templates (briefs, weekly updates), and lightweight SOPs; drive team adoption.
Creator operations: organize shooting/production planning in Notion (people, locations, schedules, deliverables), ensure briefs, asset handovers, and approvals are clean.
Google Drive hygiene: structure folders, naming conventions, versioning, ensure missing assets/files are collected and searchable.
Marketing inbox ownership: triage incoming requests, route topics, coordinate responses and follow-ups.
Vendor & invoice operations (with Finance): request/collect invoices, check correctness (amounts vs. agreements/periods), maintain an invoice tracker, forward complete packages to Finance, flag anomalies early.
Spreadsheet work: maintain trackers (budgets, invoice checks, calendars), do basic reconciliations where needed.
Seasonal calendar & reminders: maintain yearly calendar of key moments; set Slack reminders and readiness checklists; ensure owners are assigned.
Enablement & “team has what it needs”: coordinate hardware/software requests, accounts/permissions, license tracking, training scheduling; support onboarding/offboarding logistics with People/IT.
AI-enabled process improvement: use AI tools to speed up documentation, meeting minutes, summarization, template creation, and triage workflows; propose and implement practical automations while respecting confidentiality.
Partner coordination support: schedule/join selected partner calls, document outcomes, run follow-ups, support basic budget/control routines for the Performance Marketing Manager.
Hands-on support when needed: upload creatives, set up simple.
🚀 Your Key Competencies
Must-have
Strong operations / coordination experience in a high-output environment (marketing, content, growth, agency, or similar).
Excellent presentation skills (Google Slides / PowerPoint): can create clean, executive-ready decks fast.
Strong Notion capability (boards, templates, SOPs) and disciplined Google Workspace usage (Gmail, Calendar, Drive, Sheets).
Strong Google Sheets/Excel skills for trackers, invoice checks, and basic reconciliations.
High-quality written English for documentation, meeting notes, and partner follow-ups.
High reliability and discretion with budgets, invoices, and people/admin topics.
Practical experience using AI tools to improve workflows (summaries, documentation, templates, meeting notes, triage, simple automations).
Nice-to-have
Familiarity with marketing workflows (creative production, ad ops basics, CRM/push basics).
Experience coordinating vendors/partners and supporting budget hygiene.

🎓 Your Background – Education & Experience
3–7+ years in marketing coordination / operations / project coordination (or similar).
Proven track record of implementing routines and documentation that teams actually adopt.
